When you think of successful organisations, McDonald’s often tops the list. What’s fascinating is that a significant portion of its workforce consists of teenagers, yet the company operates seamlessly! The secret? McDonald’s has mastered the art of systems and processes.
They employ comprehensive training programs and clear procedures, enabling even young employees to deliver consistent results. This approach can serve as a valuable model for dental practices.

Are you entrusting responsibilities to the right people? Consider this: how often do you find yourself doing tasks that could be delegated? For instance, if your receptionist is exceptional at patient interactions, why not allow them to focus on that instead of administrative tasks? Effective delegation not only improves productivity but also boosts morale.
Utilising key performance indicators
To reward team members for taking on these responsibilities, I utilise Key Performance Indicators (KPIs). These metrics are essential tools for measuring the success of your dental practice, helping you track patient satisfaction, treatment outcomes, and operational efficiency. Establishing KPIs allows you to make data-driven decisions to improve overall performance.
For example, you might set a goal for your treatment coordinators or practice managers to achieve a certain number of five-star Google reviews each month. Consider offering a bonus for hitting targets – say, a reward of £100 for reaching 100 five-star reviews.
It’s crucial to recognise that different employees are motivated by different factors; while some may prefer financial rewards, others might value additional annual leave or team outings. Understanding what drives each individual will help you set their KPIs more effectively.
Additionally, monitoring patient retention rates can highlight areas needing improvement in patient care or follow-up processes.
If I give a dentist X number of patients, but only a certain amount have gone ahead with treatment, I need to review these metrics to create actionable plans to enhance team performance and improve patient experiences.

Understanding your employees and their areas of expertise is really important. For instance, my office manager excels at patient interactions, staff management and scheduling. I aim to have her focus on what she does best, rather than getting bogged down with administrative tasks like answering phones or checking in patients.
This strategic allocation of responsibilities benefits everyone: patients receive better service, employees feel more valued and satisfied, and the practice thrives.
The key is to invest time in understanding your team. Regular meetings facilitate this, allowing you to know personalities, motivations, and aspirations. Avoid assigning tasks that do not align with an individual’s strengths; for example, don’t assign detail-oriented jobs to someone who is disorganised.
Mismanagement can lead to inefficiency, as I’ve seen practices require multiple employees to fulfil the role of one due to mismatched skills.
I also see a lot of dentists doing procedures that don’t keep them in their expertise. For example, dentists who do their own hygiene patients. My two cents: you didn’t go to dental school to do hygiene. It’s not your expertise.
I feel their time is better spent doing more productive procedures they excel at. Understanding everyone’s area of expertise is a key ingredient to your success.
So tell me – what is your area of expertise? What about your employees? Where is everyone best utilised? What do you and the other employees need to stop doing? Do you need to hire someone else to take on other jobs?

I would recommend doing one every morning to plan ahead for the day and really get everyone motivated and working together.
Recognising achievements, both large and small, can significantly boost morale. Simple gestures like shout-outs during meetings or small rewards for exceptional performance can foster a supportive atmosphere.
Time management strategies
Are you managing your time effectively? Efficient time management is crucial for the smooth operation of any dental practice. It’s amazing how many dentists don’t know how much their practice management system can actually do – schedule a call with your provider and you will be amazed!
