These Terms & Conditions (“Terms”) apply to your registration for and participation in webinars hosted on dentistry.co.uk (each a “Webinar”). By registering for, accessing, or attending a Webinar, you agree to these Terms.
If you do not agree, please do not register and do not access the Webinar.
1. Who we are
The dentistry.co.uk webinar service is operated by Finlayson Media Communications Ltd (“FMC”, “we”, “us”, “our”), whose registered address is 1 Farm Close, Shenley, WD7 9AB, United Kingdom.
Webinars are often delivered on behalf of a sponsoring or commissioning organisation (the “Client”). The Client for a Webinar will be identified on the Webinar registration page and/or in the Webinar description.
2. Definitions
- “Dentistry SSO” means the Dentistry Single Sign On service used to authenticate users for dentistry.co.uk products and services.
- “Webinar Platform” means the technology and providers used to host, stream, record, and deliver the Webinar (including any third-party sub-processors).
- “Registration Data” means the information you submit when registering (and any information provided through Dentistry SSO that is used to complete registration).
- “Attendance Data” means data created when you access or attend the Webinar (e.g., join/leave times, duration, engagement, polling responses, Q&A submissions, and logs).
- “Webinar Data” means Registration Data and Attendance Data together.
3. Registration and eligibility
3.1 Accurate information. You confirm that the information you provide is accurate and up to date.
3.2 Professional audience. Webinars are intended for a professional audience. If you register on behalf of an organisation, you confirm you are authorised to do so.
3.3 Right to refuse/withdraw access. We may refuse, suspend, or cancel registrations (including access) where we reasonably believe registration is fraudulent, abusive, disruptive, or otherwise in breach of these Terms.
4. Dentistry SSO and account access
4.1 SSO registration. You may register using Dentistry SSO. Where Dentistry SSO is used, certain account information may be used to streamline registration and authenticate access (e.g., name, email address, and other profile fields you have provided).
4.2 Account security. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us promptly if you suspect unauthorised use.
5. Webinar delivery, changes, and cancellations
5.1 Changes. Webinar dates, times, speakers, format, and content may change. We will try to provide reasonable notice of material changes.
5.2 Cancellations. A Webinar may be cancelled for operational or other reasons. Where possible, we will notify registrants and may offer an alternative date or access to on-demand content (if available).
5.3 No guarantee of availability. Access to the Webinar and/or on-demand content may be interrupted due to network issues, maintenance, or platform limitations.
6. Recordings, Q&A, and your contributions
6.1 Recording. Some Webinars are recorded. Where a Webinar is recorded, this will typically be stated on the registration page and/or announced at the start of the Webinar.
6.2 Your contributions. If you submit questions, chat messages, poll responses, or other content (“Contributions”), you grant us and the Client a non-exclusive, royalty-free right to use, reproduce, and display those Contributions for Webinar delivery, follow-up materials, reporting, and (where applicable) recordings and transcripts.
6.3 Visibility. Your name and Contributions may be visible to the Client, presenters, moderators, and other attendees depending on the Webinar format and platform settings.
6.4 Content standards. You must not submit unlawful, defamatory, harassing, discriminatory, infringing, or otherwise inappropriate Contributions. We may remove Contributions and/or remove your access where necessary.
7. Acceptable use
You agree that you will not:
- interfere with or disrupt the Webinar Platform or security of the service;
- attempt to gain unauthorised access to systems, networks, or data;
- use the Webinar to transmit malware, spam, or abusive communications;
- copy, record, scrape, or capture Webinar content except where explicitly permitted;
- impersonate another person or misrepresent your affiliation.
We may suspend or terminate access for any breach of these Terms.
8. Intellectual property
8.1 Ownership. Webinar content (including slides, speaker materials, handouts, recordings, and branding) is owned by the Client, FMC, the speakers, and/or their licensors (as applicable).
8.2 Permitted use. Unless stated otherwise, you may view the Webinar for your personal/professional use.
8.3 Restrictions. You must not reproduce, distribute, sell, publicly display, or create derivative works from Webinar content without prior written permission from the relevant rights holder.
9. Disclaimers
9.1 Information only. Webinars are provided for information and educational purposes. They do not constitute clinical, legal, financial, or other professional advice.
9.2 Accuracy. While we and the Client aim to provide helpful and accurate content, we do not guarantee completeness, accuracy, or suitability for your purposes.
9.3 Third-party content. Webinars may reference third-party products, services, or websites. We are not responsible for third-party content.
10. Limitation of liability
10.1 Exclusions. To the fullest extent permitted by law, FMC excludes liability for any indirect, consequential, special, or punitive losses, or for loss of profit, revenue, goodwill, business opportunity, or data, arising from your registration for or attendance at a Webinar.
10.2 Cap. To the fullest extent permitted by law, FMC’s total liability to you for all claims arising out of or in connection with the Webinar shall not exceed £100 (or, if you paid a fee to attend the Webinar, the fee you paid for that Webinar, whichever is higher).
10.3 Non-excludable liability. Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability that cannot be excluded under applicable law.
11. Data protection and privacy (Webinar Data)
11.1 Controller and Processor roles
- The Client identified on the registration page is the Data Controller for Webinar Data processed for that Client’s Webinar.
- FMC acts as Data Processor on behalf of the Client, processing Webinar Data on the Client’s documented instructions to provide registration, authentication (including via Dentistry SSO where used), webinar delivery, and attendee reporting.
Important: FMC may act as Data Controller for limited, independent purposes such as ensuring platform security, preventing fraud/abuse, maintaining operational logs, and meeting legal obligations.
11.2 What Webinar Data we collect
Depending on the Webinar and what the Client requests in the registration form, we may collect:
- contact and professional details (e.g., name, email, job title, organisation, phone number where requested);
- professional information (e.g., role, practice type, interests, GDC number where requested);
- Attendance Data (e.g., join/leave time, duration, on-demand viewing, polls, Q&A, engagement);
- technical data (e.g., IP address, device/browser details, platform logs).
The specific fields requested will be shown at registration.
11.3 Sharing Webinar Data with the Client
By registering, you acknowledge that your Webinar Data will be made available to the Client as Data Controller for that Webinar. The Client may use your Webinar Data in accordance with its own privacy notice and lawful bases.
Where available, the Client’s privacy notice link will be provided on the registration page or in related communications.
11.4 Marketing and follow-up options
Webinars may include follow-up communications. How marketing is handled depends on the configuration chosen for the Webinar:
- Default configuration (no explicit third-party opt-in captured): the Client receives Webinar Data as Data Controller and is responsible for ensuring any follow-up and marketing communications comply with applicable data protection law and PECR. The Client may rely on legitimate interests where appropriate, but must consider your reasonable expectations and your rights (including your right to object).
- Optional configuration (explicit opt-in): where the Client requires explicit consent for marketing, the registration journey will include an optional checkbox (or equivalent) to capture your choice. Where you do not opt in, the Client should not use your details for marketing that requires consent.
You can opt out of marketing at any time using unsubscribe mechanisms provided by the sender or by contacting the sender directly.
11.5 International transfers and service providers
We may use third-party providers (sub-processors) to deliver the Webinar Platform and related services. Where data is transferred outside the UK, we implement appropriate safeguards in line with applicable law.
11.6 Retention
FMC retains Webinar Data as long as necessary to provide the webinar services and attendee reporting to the Client, and as otherwise required for legitimate operational needs (e.g., security logs, dispute handling, compliance). The Client determines its own retention as Data Controller.
11.7 Your rights
Because the Client is the Data Controller for Webinar Data for that Webinar, requests to exercise data protection rights (access, rectification, erasure, restriction, objection, portability, etc.) should normally be directed to the Client. If you contact FMC, we may forward your request to the Client and assist where required.
12. Complaints
If you have concerns about how your data is used, you should contact the Client (as Data Controller) in the first instance. You may also contact FMC using the details below. If unresolved, you have the right to lodge a complaint with the UK supervisory authority (the Information Commissioner’s Office).

14. Changes to these Terms
We may update these Terms from time to time. The version displayed at the time you register will apply to your registration and attendance for that Webinar.
15. Governing law and jurisdiction
These Terms are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction over any dispute arising from or connected with these Terms (except where mandatory consumer law provides otherwise).
